How to | Create Leads

Creating leads in your GB Members CRM is essential to growing your school and managing your sales funnel efficiently. Whether you're capturing walk-ins, online inquiries, or leads from social media, there are several ways to add them into your system.

This guide covers all available methods for creating leads, including manual entry, integrations, QR codes, and automated form submissions — along with best practices to ensure your process is streamlined and consistent.

Here’s how you can create leads in your CRM:

1. Manual Entry (Staff adds directly in CRM) 

2. Zapier Integration (Meta Ads, Forms, etc.) 

Zapier or others:


Instagram / Third-party website / Instagram, for example → Zapier (or other) connects to CRM → Creates a lead on CRM

3. QR Code Scan (links to waiver or trial form)

Place on your walls, front desk, or/and put outside your school → Will create a lead on your CRM

4. Waiver Form Submission (auto-creates profile)

Can have the members sign the documents in person at your school in two ways:

4.1) Services → Waivers → Select the waiver you want to send (Adult, Child, Members that did not fill out)

 

4.2) Go to “Leads” → Click on the search bar → Type the name of the lead → 

Click on “send e-mail” →

Select the template you want to send¹ → There are options for Adult and Child → Click Preview and send²



After you click on send. The e-mail will arrive at its destination with the name of your school and the name of the lead automatically filled in.  

 ¹ Pro tip: Write “on create” and it will drop down templates already configured to your CRM
² Pro tip: Under “send” there is an option that allows you to schedule to when - time and day - you want the e-mail to be sent, which goes to all e-mails you want to send to your members.

5. Widget Integration 

  We will connect to your Microsite the widgets:

  • Class Calendar: Your live schedule displays automatically on your site (only for those who have our free standard Gracie Barra Website).

  • Trial Booking: Branded flow lets prospects book their first class online.

  • Self-Sign-Up: Enable online registration to streamline onboarding (If you don't enable Self Sign-Up Registration, it won't be visible within the widget).

 

Best Practices

  • Always record source and first contact date.

  • Use Journey Triggers to automate follow-up reminders.

  • Avoid deleting leads — archive instead to maintain data integrity.

  • Review your Lead Activity Report weekly to measure conversion performance.

  • Ensure your staff notifications are enabled for instant updates.
