Freezing a member’s account temporarily pauses their activity and billing in the system. This is ideal for members who need a break due to personal reasons. When freezing a member, submitting a Bambora Freeze Form ensures that their Bambora billing account is updated accordingly. Unfreezing or extending a freeze also requires completing the appropriate forms to keep billing and membership statuses accurate.

 1. How to Freeze a Member

      Step 1: Access the Bambora Freeze Form

  • Click the 9 dots in the top-right corner of the page.
  • Select Services from the dropdown menu.

  • Click Bambora Billing and locate the Bambora Membership Freeze Form.

 

  • Click the form to fill it out.

      Step 2: Fill Out the Freeze Form

  • Select the member to freeze from the dropdown menu.
  • Choose the reason for freezing:
    • If selecting Other, enter the reason in the field provided.
  • Select the preferred Freeze Date from the calendar.
  • Enter the Last Training Day date.
  • Set a Resume Date:
    • Choose Until Further Notice if there is no specific reactivation date.
    • Or specify the Resume Date if available.

     Step 3: Apply or Waive the Freeze Fee

  • To apply a freeze fee, click Apply and enter the amount in the field. This fee will recur until the membership is reactivated.
  • To waive the fee, click Waive, so no freeze fee will be charged.

    Step 4: Upload Documents (Optional)

  • Upload any necessary documents if applicable.

    Step 5: Review and Submit the Form

  • Click Continue to review the details of the freeze form.
  • Confirm everything is correct, then click Submit.

Tip: Wait for the freeze form status to change to Frozen before leaving the page. This ensures the member’s status updates to Frozen instead of Pending Freeze.

    Step 6: Verify Bambora Billing Status

  • Login to Bambora to confirm the member’s billing account status has been updated to On Hold.

2. How to Unfreeze a Member

    Step 1: Access the Bambora Resume Frozen Member Form

  • Click the 9 dots in the top-right corner of the page.
  • Select Services from the dropdown menu.
  • Click Bambora Billing and locate the Bambora Resume Frozen Member Form.
  • Click the form to begin filling it out.

    Step 2: Fill Out the Unfreeze Form

  • Select the member to unfreeze from the dropdown menu.
  • Set up the Membership Fee/Cost and select the Payment Frequency (if update is needed)
  • Fill out the Reason to Unfreeze field.
  • Enter the Payment Resume Date (this is the date when the member will be charged their regular membership fee).
  • If necessary, click Apply Early Return Payment.
  • Click Submit to unfreeze the member.

Tip: Ensure the member’s billing account in Bambora is updated to Active after submitting the form.

3. How to Extend a Membership Freeze

    Step 1: Access the Bambora Extend Membership Freeze Form

  • Click the 9 dots in the top-right corner of the page.
  • Select Services from the dropdown menu.
  • Click Bambora Billing and locate the Bambora Extend Membership Freeze Form.
  • Click the form to fill it out.

    Step 2: Fill Out the Extension Form

  • Select the member to extend the freeze for from the dropdown menu.
  • Enter the Reason for Extension in the field.
  • Choose either:
    • Until Further Notice if the unfreeze date is still indefinite.
    • Or specify a Resume Date.
  • Click Submit to extend the freeze.

Tip: If the member is not ready to return yet, choose Until Further Notice for the freeze extension.
