How to | Send the Waiver to a Member

This guide explains how to send a Member Waiver to an existing member through GB Members.

The waiver is sent by email and allows the member to securely complete and sign the document online.


Before You Begin

Before sending the waiver, make sure:

  • The member has already been created in GB Members.
  • The member has a valid email address saved in their profile.
  • The member has not already completed the waiver (unless you need them to sign it again).

Step 1 – Open the Member Profile

  1. Log in to GB Members.
  2. Search for the member using the Members list.
  3. Open the member's profile.

Step 2 – Click "Send Email"

On the right-hand side of the member profile, click:

Send Email

This opens the email editor, where you can select one of the available email templates.


Step 3 – Select the Waiver Template

From the Email Template dropdown, search for and select:

Member Waiver Form

The system will automatically populate the email with the secure waiver link for that specific member.


Step 4 – Review the Email

Click:

Preview & Send

Review the email before sending it to ensure everything looks correct.


Step 5 – (Optional) Schedule the Email

If you'd like the email to be sent at a later time, enable the Schedule option and choose the desired date and time.

Otherwise, leave scheduling disabled to send the email immediately.


Step 6 – Send the Email

Click:

Send

The member will receive an email containing a secure link to complete and sign the waiver online.

No further action is required from the school.

What Happens Next?

Once the member completes the waiver:

  • The signed waiver is automatically linked to the member's profile.
  • Staff can review the completed waiver at any time from the member's record.
  • No paper copies or manual uploads are required.

Frequently Asked Questions

The member didn't receive the email.

First, verify that the email address on the member's profile is correct.

If necessary, resend the email using the Member Waiver Form template.


Can I send the waiver more than once?

Yes.

You can resend the waiver at any time by repeating the steps in this guide.


Where can I see if the member has completed the waiver?

After the member signs the waiver, it is automatically attached to their profile within GB Members for future reference.


💡 Tip

If a new member has not completed their waiver during the enrollment process, you can quickly resend it at any time using the Member Waiver Form email template. This is much faster than creating a new registration or asking the member to complete the entire enrollment process again.

Last Resort: Have the Member Sign the Waiver In Person

If the member is unable to receive or complete the waiver by email, you can have them sign it directly in GB Members while they are at your school.

Step 1 – Open the Services Menu

Click the 3×3 Grid Menu in the top-right corner of GB Members and select:

Step 2 – Open the Waivers Category

Select:

Waivers


Step 3 – Open Member Waiver Agreement

Click:

Member Waiver Agreement


Step 4 – Select the Member

Search for and select the member who needs to complete the waiver.

The system will automatically populate the member's information.


Step 5 – Have the Member Sign

Ask the member to sign directly in the Waiver Signature box using a mouse, touchscreen, or signature pad (if available).

Once the signature has been captured, submit the form.


What Happens Next?

Once submitted:

  • The signed waiver is automatically attached to the member's profile.
  • No additional paperwork or uploads are required.
  • Staff can access the signed waiver at any time from the member's record.

Tip: This method is ideal when a member is already at the school and cannot access the waiver email, or if they prefer to sign the waiver in person.
