Track Emails & Calendar | GMAIL

To allow the GB Members software to track Emails and set up Calendar events for Intro Classes. A school needs to run a setup to allow GB Members access to the school's Google email account, the same one you provided when filling out the onboarding form to customize your software.

Scroll to the bottom to see the suggested steps for configuring a non-GMAIL address; it is highly recommended that you use Gmail or Google Workspace.

PRE - SETUP

Before completing the Gmail Watch below, you need to ensure the following has been completed: 

  1. Domain Created, and DNS Records Applied -> View Help Article
  2. Domain connected to Google Workspace with an email connected, i.e., info@gbschool.com -> View Help Article

SETUP

Ensure you are logged into the Google mail account configured as the school’s email account.

Within the same browser, run the following URL:

https://services.gbmembers.net/mail-handler2/login

  • USERNAME: admin 
  • PASSWORD: graciebarra

“Click Here to grant permissions on your Gmail account and Google Calendar” then Log into your email.

You'll be prompted to log in to your Branded Gmail Account, i.e. info@gbschool.com 

This step will likely trigger the "app is blocked" error message.

  • Review and Update App Permissions in the Google Workspace Admin Console:

    • Go to https://admin.google.com and sign in with admin credentials.
    • Navigate to Security > Access and Data Control > API Controls > App Access Control.
    • Check if the app has been flagged as "restricted" or "blocked." If so, adjust the settings to allow permissions.
    • If the app hasn't been flagged, you can then search to add the "GB Members" app as an authorized app.

  • Authorize and Trust the App:

    • If the app is listed, add it to the "trusted apps" list and grant the necessary permissions.
    • If the app is not listed after the initial attempt, additional restrictions in the Workspace settings may need to be adjusted, or it may take time to appear after the failed access attempt.
  • Retry Setting Up the Gmail Watch:

    • Once the app permissions are updated, try logging into the Gmail Watch again.

Don't have a GMAIL? 

You have a few options to consider. Please review below. 

1. Create a Google Cloud Identity Account

https://cloud.google.com/identity#pricing

1. Sign Up for Google Cloud Identity:

      • Go to Google Cloud Identity website.
      • Choose a plan and sign up.

2. Add and Verify Domain:

      • Enter GoDaddy domain in Google Cloud Identity.
      • Verify domain ownership by adding a TXT record in GoDaddy DNS settings.

3. Set Up Email Forwarding:

      • Forward GoDaddy emails to Gmail.
      • Add GoDaddy email as an alias in Gmail.

4. Configure Google Cloud Identity:

      • Create user accounts and assign roles.
      • Integrate with GB Members system.

2. Create a new Gmail account and import your old emails:

3. Link your old email address to your Google Account:

  • Add your old email address as an alternate email: This allows you to sign in to your Google account with either email address.

  • Set your old email address as the default email address: This will be the primary email address associated with your Google account and the one displayed to others.

Here's how to add and manage alternate email addresses:

  1. Open your Google Account.

  2. Select "Personal info."

  3. Under "Contact info," click "Email."

  4. Next to "Alternate emails," select "Add alternate email" or "Add other email."

  5. Enter your old email address.

  6. Select "Add."

  7. Google will send a verification email to your old address. Click the link in the email to verify it.

Once your old email address is added as an alternate, you can choose it as the default email address for your Google account by following the same steps and selecting the "Make default" option next to your old email address.

Additional tips:

  • Forward your old emails to your Gmail account: You can set up automatic forwarding in your old email account to send all new emails to your Gmail account.

  • Update your contacts: Let your contacts know about your new Gmail address so they can reach you there.

  • Keep your old email address active: If you need to access your old emails in the future, you will need to keep your old email account active.

Ultimately, the best option for you will depend on your specific needs and preferences. If you want to access all your emails in one place, importing your old emails into your new Gmail account might be the best option. However, if you want to continue using your old email address for some purposes, you can link it to your Google Account instead.
