How to | Send the Waiver to a Lead

Once a lead has been scheduled for their first intro class, the next step is to get them to complete a waiver. GB Members allows you to automate this process through Journey Triggers, emailing them the waiver link beforehand. This ensures your lead arrives ready to train.

1. Verify Email Template Setup

Navigate to the Datastore:

  1. Select 'Settings' from the Members Menu (3x3 grid icon, upper right)
  2. Select 'Datastore' from the left menu
  3. Scroll Down to find "Email Templates" and click it
  4. Use the search bar and type "on create'' to see the available templates

Note: You can now edit Email Templates directly when editing Journey Triggers. View this help article to learn more

Template Name to search:  "Leads - On create Adult Trial Booking" OR "Leads - On create Child Trial Booking"

2. Verify Journey Trigger

Automate Waiver to send

  1. Navigate to the "Home" section of your software. (Found in the 3x3 grid menu icon in the upper right corner).
  2. Click on “Settings” in the bottom left-hand corner
  3. Click on “Datastore” in the left-hand menu
  4. Select “Journey Triggers” from the menu
  5. Select the magnifying glass icon to populate the existing records. 
  6. This Trigger should already be set up and activated for you. 
  7. See the screenshots below for how it should be set up. 

There is a similar trigger also set up for child leads: 

 


3. Share the Waiver with a Custom Link or QR Code

Use the custom URL or a QR code if you want to share waivers manually or allow leads to self-register.

  1. Custom URL:

    • Use this template to create a waiver link:

      • ADULTS

        • https://{your-school-name}.gbmembers.net/#/kapps/services/forms/mens-registration?public&id=NEW_LEAD

      • KIDS
        • https://{your-school-name}.gbmembers.net/#/kapps/services/forms/kids-registration?public&id=NEW_LEAD
    • Replace {your-school-name} with your school's name as it appears in your GB Members URL (e.g., for Arcadia: https://arcadia.gbmembers.net).
  2. QR Code:

    • Copy your custom URL.
    • Use a QR code generator (like QR Code Generator) to create a scannable code.
    • Display this QR code at your front desk or include it in communications for easy access.
    • Here is a GB-branded Canva Template you can use. 

Note: Always test the URL and QR code to ensure it directs to the correct waiver form.


4. Manually Send

  1. Navigate to the Leads Tab within GB Members
  2. Use the search bar to search for your lead's name
  3. Click the "Send Email" button
  4. Click on "Select Email Template"
  5. Search "Waiver"
  6. Select the appropriate template with Adult or Child Trial Booking
  7. Make any custom adjustments you want to
  8. Click on "Preview & Send"
