How to | Track and Manage Waiver Compliance

The CRM provides tracking and visual indicators to help schools monitor waiver compliance and ensure all members have completed their waivers. Below is a step-by-step guide on how waiver compliance works and how to manage it effectively.

1) Setting the Waiver Compliance Date

  • A Waiver Compliance Date can be set to identify when the school should begin tracking completed waivers.
  • Existing Schools: Should set the date to when they officially want to start tracking compliance.
  • New Schools: Should set the date to the day they start operations.
  • If no date is set, waiver compliance tracking will not be enabled, and no indicators will be displayed.
  • Navigate to School Settings in the backend of your software to set the date.

2) How Waiver Compliance is Tracked

Once a Waiver Compliance Date is set, the system will check each member's waiver status:

  • Red Notepad Icon: This icon displays when a waiver has not been completed or was completed before the Waiver Compliance Date.
  • Green Notepad Icon: This icon displays when a valid waiver has been completed (it shows the most recent completion date).
  • The system automatically runs a script to check the latest waiver completed for each school.
  • The following forms count as a valid waiver:
    • Adults Registration Form
    • Kids Registration Form
    • Member Waiver Form
    • Member Self Sign-Up Form

 

3) Monitoring Waiver Compliance in Reports

The Member Activity Report can be used to track waiver compliance:

  • If a member does not have a valid waiver, the Program Director (PD) will display a compliance warning indicator before check-in.

  • If a non-compliant member is checked in, an alert icon indicating a missing waiver will be displayed in their profile.

4) Waiver Compliance in Self Check-In

For schools using the Self Check-In system:

  • The compliance indicator will display if a member has not completed a valid waiver before allowing check-in.

5) Managing & Notifying Non-Compliant Members

To easily track and follow up with non-compliant members:

  • Create a Member List and filter members by using the "Waiver Compliant" checkbox.

  • Ensure the list only includes members with an Active, Pending Freeze, or Pending Cancellation status.

  • This list can be used to send targeted emails and monitor compliance progress.

6) Sending Waiver Reminders

  • A pre-configured Member Email Template is available to send waiver completion requests.

  • Schools can use this template to create a campaign or send individual waiver reminders.
